1. The Challenge

This busy electrical contractor had an accounting firm that was effectively unresponsive. Calls and emails went unanswered. The owner had no clarity on VAT, payroll, or bookkeeping at any given point. The business was using Sage 50, which only the outsourced accountant and bookkeeper understood, leaving the internal team entirely dependent on external parties for basic financial information. A significant and untracked materials problem was also quietly eroding margins.

2. What We Did

  • Cleaned up the existing books and migrated the business from Sage 50 to Xero.
  • Trained the internal team to raise invoices, track employee expenses, and use the system themselves.
  • Designed and implemented a stock reconciliation process to track material usage, identify discrepancies, and flag waste or unauthorised removal.
  • Introduced monthly management accounts so the owner had regular visibility of financial performance rather than relying solely on year-end information.

3. The Outcome

The stock reconciliation process identified significant material losses and enabled the business to reduce its materials spend by approximately 20-25%. The team now has full ownership of their own financial data in Xero, and the owner receives monthly accounts rather than information that is five to six months old by the time it arrives.
